Position Overview:
AIM Institute for Learning & Research is seeking an RFP Writer - Business Development candidate with a passion for education and the Science of Reading. The RFP Writer-Business Development will join a dynamic team and be responsible for researching, qualifying, and drafting compelling responses to RFPs, RFIs, and RFQs, primarily in the education sector. This role ensures a consistent and strategic response process that maximizes win potential and organizational visibility. The successful candidate will combine meticulous project coordination with strong writing, analytical, and communication skills and the ability to prioritize and cross-functionally collaborate across the organization.
Key Responsibilities:
- Monitor and filter relevant bid opportunities via state portals, GovSpend, and other sources.
- Perform initial RFP qualification using standardized criteria (strategic fit, risk level, competitiveness).
- Log qualified opportunities in Salesforce and prepare internal intake documentation and planning.
- Ability to pursue and manage multiple opportunities in various stages using project management tools.
- Prepare standard and customized proposals using internal repositories, tools, and other available resources.
- Coordinate input from cross-functional teams, exercising key judgement when subject matter expertise is needed and leveraging available resources from various teams.
- Annotate RFP documents with task ownership, required deliverables, and deadlines, planning in advance for any cross-functional coordination.
- Ensure all materials are prepared in alignment with submission requirements and branding standards and submitted in advance of their deadlines.
- Create and manage internal timelines to ensure all steps are completed on time.
- Lead RFPs through internal review cycles (Sales, Compliance, Brand/Grammar).
- Submit proposals in accordance with RFP guidelines (online portals, physical mail, etc.).
- Maintain accurate opportunity data and documentation in Salesforce.
- Attend all public meetings associated with the RFP, RFI, or RFQ.
- Update status of submissions in Salesforce.
- Record and analyze feedback from unsuccessful bids to inform future improvements.
- Continually maintain and update the repository for improved resources based on win/lose trend analysis of all RFPs, RFIs, and RFQs.
Required Qualifications:
- Strong command of English grammar, tone, structure, and formatting.
- Experience tailoring proposals to specific audiences and requirements.
- Familiarity with public sector procurement processes (RFP, RFI, RFQ).
- Ability to manage full RFP lifecycle from intake to submission and post-mortem.
- Experience with CRM platforms (preferably Salesforce) for opportunity tracking.
- Proficiency in using project management tools (e.g.Monday.com).
- Competence with Google Workspace.
- Comfortable learning and using AI and automation tools for drafting and research support.
- Understanding of compliance standards and branding requirements in official submissions.
- Skilled in identifying bid opportunities through state portals, procurement sites, and open data sources.
- Ability to evaluate RFP fit against organizational capabilities and strategic priorities.
- Bachelor's degree in English, Communications, Public Administration, Business, Education, or a related field (required).
- Entry to Mid-Level: Typically 1–3 years of professional experience in proposal writing, business development, grant writing, or similar roles.
- Experience in education, edtech, or public-sector procurement is strongly preferred.
- Demonstrated ability to work across sales, finance, content, and product teams to gather and synthesize inputs for deliverables.
- Prior exposure to the structure and processes of government or education sector procurement (especially K–12) is a strong plus.
- Examples of past proposal submissions, templates, or writing samples may be requested during the interview process.

- Able to handle sensitive information and communications, particularly during competitive processes.
